About the Opportunity
HireNow Staffing is partnering with a top-tier law firm to identify a seasoned Administrative Supervisor to support its Los Angeles office. This role is not a traditional administrative or paralegal position—it is an operational leadership role designed for professionals with law firm or professional services experience who understand how to manage people, processes, and office operations at scale.
Reporting to the Director of Business Operations, the Administrative Supervisor will serve as a key on-the-ground leader, ensuring the smooth execution of daily administrative functions while supporting firmwide initiatives locally. The ideal candidate brings proven supervisory experience, exceptional organizational judgment, and a demonstrated history of role stability.
What You'll Be Responsible For
Administrative Leadership & Team Supervision

Supervise and guide administrative staff, providing clear direction on workflow, priorities, coverage, and resource allocation

Coach and support team members to maintain high service standards, accountability, and responsiveness

Participate in recruiting, interviewing, onboarding, and integration of new administrative staff
Office Operations & Local Execution

Oversee daily administrative operations for assigned departments, which may include Office Services, Facilities, and Reception

Ensure operational consistency with firm policies while addressing the unique needs of the local office

Serve as a central point of coordination for office logistics, staffing changes, and operational updates
Firm Initiatives & Project Management

Lead local execution of firmwide initiatives such as office moves, renovations, maintenance projects, and security-related efforts

Plan and manage office events, programs, and internal initiatives that support engagement and collaboration

Support orientation and integration of new attorneys and staff into the office environment
Budgeting, Vendors & Reporting

Assist with departmental budget planning, expense tracking, and cost control

Maintain relationships with external vendors and service providers; monitor service levels and resolve issues

Maintain accurate records, spreadsheets, databases, and reporting materials related to administrative operations
Operational Support & Flexibility

Update systems and processes related to office moves, staffing changes, and operational transactions

Support additional office projects, initiatives, and events as needed

Work extended or non-standard hours when required to support business needs
What Makes You a Strong Fit
Required Qualifications

Minimum of 6 years of experience in a law firm or professional services environment (required)

At least 2 years of people management or supervisory experience

Demonstrated experience overseeing office operations, facilities, or administrative services

Proven job stability and long-term tenure in prior roles
Preferred Qualifications (Strongly Emphasized)

Bachelor's degree

Experience supporting mid-to-large law firm offices

Comfort managing multiple operational priorities simultaneously

Experience partnering with firmwide operations, facilities, or business services teams
Core Proficiencies

Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

Working knowledge of budget planning, tracking, and reconciliation
